The Digital Transformation of Educational Processes in Higher Education: A Case Study of a Polish University

Abstract:

Digital transformation has become one of the key strategic priorities for higher education institutions, affecting not only teaching methods but also administrative and organizational processes. Previous research has focused primarily on individual educational technologies, while significantly less attention has been paid to the integration of information systems that support the entire educational process. The aim of this study is to analyze the digital transformation of educational processes at a Polish university and to identify the organizational benefits resulting from the integration of information systems used in education. The study is based on a qualitative case study, including document analysis, participant observation, analysis of information systems, and analysis of operational data collected during the implementation of integrated digital solutions supporting the management of educational processes. The research findings indicate that the integration of information systems significantly increases the efficiency of educational processes by automating processes, reducing the number of manually performed administrative tasks, improving data consistency, and streamlining communication among the university’s stakeholders. This case study shows that the greatest benefits are achieved through the interoperability of IT systems supporting education, rather than through the implementation of separate, independent digital tools. Based on the results obtained, a conceptual model was proposed that illustrates the relationships between digital infrastructure, IT system integration, process automation, organizational improvement, and the streamlining of educational processes. The proposed model can serve as a reference point for higher education institutions planning or evaluating initiatives related to digital transformation. This study contributes to the growing body of research on digital transformation in higher education by providing empirical evidence drawn from actual implementation at a university and by demonstrating how integrated digital ecosystems can support more effective management of educational processes.
